Packing Instructions for Cargo Pick-up and Insurance

Please read and follow these instructions carefully to avoid delays, damage, or insurance issues.

Proper packing and preparation of your cargo is essential for safe transport and insurance coverage. Follow these guidelines to ensure your shipments arrive safely and on time.

1 Crating & Mechanical Handling

  • All cargo must be packed to allow mechanical handling (forklift or pallet jack)
  • Crates must have feet or skids for fork access
  • We highly recommend crating your goods to ensure safe and efficient handling

2 If Not Using Crates (Palletized Shipments)

  • Place cargo on a pallet, and secure with straps and shrink wrap so no cartons are loose or can be removed from the pallet
  • Label all items clearly with the piece and total piece count, shipment identification, show details and contact info
  • If you plan to re-palletize after a show, include a roll of shrink wrap and strapping equipment with your shipment. Shrink wrap is not easily available for purchase at event sites
  • It will be very important to secure your goods for on-site empties handling in the same manner
Important: While we do not recommend pallet use, if used, shipments must be fully secured. If there are any inspections or breakdown of a pallet, there is a chance of loss.

3 Pallet Compliance for International Shows

For international shipments, pallets must be:

  • Made of plastic, or
  • If it is wood, it must be heat-treated and stamped to meet ISPM 15 compliance
Warning: Non-compliant pallets may be rejected, leading to delays and added costs.

4 Cargo Insurance

Important: Your shipment is not automatically insured by TWI. You should have your own insurance.

If you are purchasing additional cargo insurance through TWI, you must submit a complete invoice/packing list:

  • Only items listed on your packing list with values will be insured
  • Unlisted items are not covered. Crates and Shipping containers are not automatically insured as they are designed to protect the contents
  • If you want to insure your specialty crate or case, you must list this as an item on your packing list with values

Please be aware that as in most cases, any agreed insurance reimbursement is for replacement value or depreciated value, so the values you list may require substantiation with statements, purchase invoices or other support details in case of an insurance claim.

5 Crates & Protection During Truck Transport

  • Crates and cases are generally not insured, as they are considered protective outer packaging
  • Truck transport involves multiple handling stages and tight stacking and/or wedging of crates
  • Ensure all hinges, locks, and hardware are protected from damage

6 Stacking & Handling Requirements

  • All cargo must be able to withstand stacking and regular handling
  • "Do Not Stack" labels are not valid unless:
    • You have made specific arrangements for non-stackable cargo, and
    • Agreed to the applicable surcharge for special handling
